    Review Questions

    1. Why does planning often improve writing more than drafting immediately?
    2. How does purpose affect what information belongs in a message?
    3. Why may the same message need different wording for different readers?
    4. When might email be weaker than another communication channel?
    5. Why is direct organization often the strongest for routine communication?
    6. How does visual organization improve digital readability?
    7. Why should tone always be reviewed before sending?
    8. What risks occur when important details are omitted?

    Short Writing Activity

    Rewrite for Clarity

Rewrite each weak message below so it becomes a stronger professional message.

    1. Need this soon.
    2. Meeting changed.
    3. Question about report.

    For each revision, include:

    • Clear purpose
    • Complete detail
    • Appropriate tone
    • Logical organization

    Case Study

    A Message Sent Too Quickly

Marina is coordinating a department report due that afternoon. She sends this email to three coworkers:

    Subject: Report

    Need your parts soon.

Thirty minutes later, only one person has replied. One coworker asks which report is being discussed. Another said they were unsure whether Marina needed final numbers or draft notes.

The report is delayed because Marina must now send additional explanations.

    Discussion Questions

    1. Which planning step was skipped before the email was sent?
    2. Was the subject line strong enough? Why or why not?
    3. Did the message provide enough detail for multiple readers?
    4. Rewrite Marina’s email more effectively.
    5. Would another channel have improved response speed?
