    Key Terms

    Business letter
    A formal document used for external communication with individuals or organizations.

    Closing Paragraph
    The final paragraph of a workplace message that summarizes next steps, identifies deadlines, requests action, offers appreciation, or provides contact information.

    Complimentary close
    A professional closing phrase that appears before the signature in a business letter.

    Email
    A digital message used for everyday workplace communication and documentation.

    External Communication
    Messages sent outside the organization to customers, vendors, agencies, or community members.

    Formatting
    The visual organization of a document that helps readers understand information quickly.

    Internal Communication
    Messages shared within an organization among employees, departments, or teams.

    Memo (memorandum)
    An internal workplace document used to communicate information within an organization.

    Opening Paragraph
    The first paragraph of a workplace message that introduces the purpose clearly and directly.

    Salutation
    The greeting used at the beginning of a message.

    Signature block
    The identifying information placed at the end of a message showing the sender’s name and contact information.

    Subject line
    A brief phrase that summarizes the topic of an email or memo.

    Workplace message
    A written communication used to share information, request action, or document decisions in professional settings.
